Managing your Zipcar Business Account

Managing Drivers on your Account

As the account administrator, you have control over who is an approved driver and admin on your account. Below is an explanation of how to manage your account members.

But first, are they eligible? The table below details driver eligibility requirements.

In order to get approved as a member, applicants need to have held their license for at least 1 year, be 21 or older, have no major violations in the past 3 years and no alcohol or drug-related violations in the last 7 years. If these criteria aren't met, it is highly likely the application will be rejected.

You can add as many drivers to your account as you need, just follow the steps below:

  • Log in to you Zipcar account on desktop 
  • Go to your 'My Account' section, then 'People'
  • Select 'Add member' and enter the email of the additional driver
  • They will then receive an email inviting them to sign up to Zipcar
  • Once approved they will automatically be a driver on your business account

Adding a driver has a one off fee of £12 (inc. VAT) charged to your account.

If they are already an approved Zipcar member there is no one off fee, just follow the same steps as above!

You are able to change permissions of those already in your business account, or even add new admins. Below are some of the most common options:

  • Add an admin to the account (this is free of charge)
  • Invite an admin to be a driver (this will incur a one off charge of £12)
  • Give a driver admin permissions
  • Remove a driver or an admin from your account 

All of the above can be done on the 'People' section of 'My Account', by clicking the three dots on a members email to edit an existing member.

Damage waivers

Below are some answers to the most common questions we get about our waiver policies.

What is a waiver?

The standard excess on a Zipcar account is £750, which means if one of your account drivers has an accident or incurs any damage, the first £750 of the bill needs to be paid before insurance covers it. A damage waiver can reduce this excess or even fully remove it.

How do waivers work?

There are two types of waiver for Zipcar for Business accounts, which are charged on a per trip basis:

  • For £1.50/hour or £10/day or £2.50 per Flex trip per day the damage excess is reduced to £250
  • For £1.75/hour or £12.50/day or £2.50 per Flex trip per day the damage excess is reduced to £0

You can either opt in or out of one of the above waivers. 

How can I opt in?

To opt in or edit your damage waivers, visit your 'Account setting' in 'My account' section on desktop and select 'Damage protection' to make any changes.

How can I download invoices?

To access or download account invoices, follow the steps below:

  • Click 'Billing' on your desktop account 
  • You can download an invoice for each trip by pressing the green page symbol next to the reservation 
  • You can also click 'Download activity' specify dates and click 'PDF' at the bottom of the page for a summary 

What about Parking Charge Notices?

Unfortunately sometimes parking or traffic violation notices can be received by our Zipcar for Business members, which we understand can be frustrating. We've put together a list of FAQ's to help you understand how we deal with PCN's and what you need to do should you or a driver on your account receive one. Take a look here. It is worth noting that we will contact the driver directly should they receive a PCN and not the account admin.

What if my business name changes?

Please email [email protected] with proof of your new business name to let us know if it has changed.

Why can't I access the app?

If you are only an admin on the account, you won't be able to login and use the Zipcar app. Follow the below steps to update your account to a driver account:

  • Click 'My account' then 'Account settings' and finally 'People'
  • Click the three dots next to the relevant name 
  • Click 'Update role' select 'Driver' and save changes
